Privacy Statement

This website is operated by the Aide Association, a registered charity in the state of Washington and 501(c)3 nonprofit. We are a volunteer-run organization composed of just a few people, and this incarnation of the web store was first established in 2021.

Information we collect:

  1. Cookies: When you use this website, the Aide Association’s website software and WordPress will attempt to store “cookies” on your computer – small files or records that enable the site software to keep track of where you are on the site and what pages you browse. If you block these cookies by adjusting your browser settings the site will continue to work just fine and we won’t mind at all.
  2. IP address: If you post a comment or question on this site, the site software collects your computer’s IP address and shows it to the association volunteer who handles the response.
  3. Shipping and contact info: In order for us to get your purchases to the right place, we have to ask for and record your name and address. This information is stored on the website and used to produce shipping labels and notices. If you provide an email address we may also send email to your email account to let you know how your order is doing.
  4. Order details: our website keeps a record of what you ordered and a log of what we did to fulfill your order.
  5. Payment information: All payments on this site are processed by Stripe Payments. You can view their global privacy policy here: https://stripe.com/privacy the AIDE association cannot see your credit card information; all we get is a notice that the transaction was processed successfully and the money you paid has been credited to our account.

What we do with your information:

  • We will never sell your personal data.
  • As noted above, we will use the information you provide in order to let you know about the status of your order, to ship your order to you, and to keep minimal records of what we did to fulfill your order.
  • If we are legally required to share your data (for example if we get a court order to do so) we will comply, but we will try our best to minimize the data we share.
  • We keep records of orders and supporters for about 5 years, then we dispose of the papers, forms and correspondence to the extent we are allowed to do so.
  • We usually send confirmation emails to customers from a single email account. When this is done through a DOL email account (as is often the case), the information in those emails may become a disclosable public record. If required to do so, DOL will disclose the content of those messages after appropriate redaction.
  • We aggregate all information about orders on this site so we can analyze what products are most popular. The results of this analysis may be included in our organization’s annual report, which is available to all users of the DOL intranet and may be provided to tax and registration authorities in order to maintain the organization in business, pay our taxes and demonstrate that we are still a charity. Aggregate data about orders does not include any personal information, and we do our utmost to ensure that those aggregate reports cannot be re-identified to individual customers.

What you can do about our use of your information:

  • Access: If you ask us to do so, we will go through the records on our website and either assemble a report for you showing what data we have collected about you and your orders, or describe what we find to you by phone. We will only do this once we are sure that such a request comes from you, and please be patient – it will likely take our volunteers a couple of months to assemble a written report.
  • Corrections: If you spot an error (such as an outdated mailing or email address, name or honorific) please let us know and will correct it right away.
  • Deletion: If you ask us to, we will do our best to remove your name and contact info from our website records and/or replace it with some kind of placeholder like “*******@****.com” or “J— D–, ### M— St, C— ST #####”. We will keep a record of the order and our actions to fulfill it for the minimum period required by law to the extent we can determine it. We may not be able to delete emails sent to confirm an order.
  • Objection: If you have any concerns about what we’re doing about privacy, you can contact the DOL Privacy Officer at DOLPrivacyOfficer@dol.wa.gov for help, and we will do our utmost to follow whatever guidance we get from them.
  • Alternative payments: If you’re not comfortable using Stripe to pay for your order, you can contact us and we’ll try to work out another way for you to pay.
